Privacy & How We Protect Your Information

Run the Room is produced by Professional Development Inc. Producer: Charles Mayfield. This page explains what personal information our forms collect, why, and how we protect it.

What we collect

Through our internship application form: your name and email, school and program, a résumé and optional writing sample, a copy of your state-issued ID (driver's license or state ID card). A state-issued ID shows your full legal name, photograph, date of birth, home address, ID number, and physical description; uploading a copy gives us all of that information. We use the copy only to verify age and identity (see ID Copies, below). Through our call-request form: your name, email, phone number, organization and role (optional), what you'd like to discuss, your best times and time zone, and any extra notes you choose to add.

Google Forms requires you to sign in to a Google account to upload files, and Google records the name, email address, and profile photo of the account you use together with your submission.

Who may apply: Direct applications are open to applicants age 18 or older only; the form asks whether you are 18 or older and collects nothing from anyone who is not. Students ages 16 and 17 may participate only through a school partnership, in which case their school transmits their application materials to us and certifies that parental or guardian permission has been obtained and documented by the school. We do not collect parent or guardian contact information, and schools do not send us copies of ID — the school verifies the student's age itself. The program minimum age is 16; we do not collect information from anyone under 16.

Why we collect it

Only to evaluate internship applications, verify an applicant's age and identity, administer school-partnership placements, and schedule and prepare production calls. We use it for nothing else.

Website analytics

Our websites use Google Analytics and GoatCounter to understand, in aggregate, how many people visit our pages and which pages they view. These services collect technical information such as your IP address, browser and device type, pages viewed, and referring pages. We use this information only in aggregate to operate and improve the sites. We do not use it to identify individual visitors, and we do not sell it.

How we protect it

Submissions are stored in the production team's Google account, and uploaded files are stored in that account's Drive storage, which is not shared publicly. Access to the account is limited to members of the production team. We do not sell or rent personal information, and we do not share it with advertisers. We share information only where the program requires it — for example, the name and phone number for a scheduled call are given to Fo, the calling service operated by Wajo that places production-team calls on our behalf, and our forms and files are processed and stored by Google (Google Forms and Google Drive). Service providers receive only what they need to do that work.

ID copies

We use the copy of your state-issued ID only to verify your age and identity. When verification is complete, we make a verification record — the type of document (driver's license or state ID card), the state or jurisdiction that issued it, its expiration date, the date of verification, the name of the team member who verified it, and the result — and we delete the copy of the ID, including from trash. The verification record is kept permanently as part of your application record. The ID copy itself is not kept. Students placed through a school partnership do not send ID copies — their school verifies their age.

School-partnership placements

For students ages 16 and 17 placed through a school partnership, the school obtains and documents parental or guardian permission itself and provides us its certification that permission has been obtained. Permission records remain with the school. We do not record permission calls, and we do not receive parents' or guardians' contact details in this channel.

How long we keep it

We keep application records permanently. An application record includes your name and contact information, your school and program information, your answers on the form, your résumé and any cover letter you send, our correspondence with you about your application, and the verification record described under ID Copies, below. We do not keep the copy of your state-issued ID itself. A call request is submitted by you to ask us to schedule a call, and it becomes part of the show's production records; call requests are retained indefinitely as production records. We keep these records permanently unless a law that applies to us requires us to delete a record.

Your choices

You may ask us at any time to correct your information: write to runtheroom@outlook.com. We keep application records and call requests permanently as program and production records, so we do not delete those records on request. If a law that applies to us gives you a right to have a record deleted, we will honor it. For any other information we hold about you that is not part of those permanent records, you may ask us to delete it, and we will act on the request promptly.
